The regular meeting of the Board of Trustees was held on Wednesday, December 13, 2017, in the Library’s Board Room. Attending the meeting were Trustees Chris Vaage, Tona Casella, Kyle Tarbett and John VanEngelen; Library Director Tara Bartley; Staff Member Jennifer Hill and Karolee Sorenson. Absent Monica D’Angelo and Suzanne Hawkins. Chairman Chris Vaage called the meeting to order at 4:31 p.m. with brief introductions. The Trustees MSC approval of the amended December 13, 2017 agenda to include discussion on the Public Forum and change the holiday party date to January 5, 2017 from January 6, 2017. Tona Casella made the motion to approve. Kyle Tarbett 2nd the motion. The Trustees MSC the approval of the November 8, 2017 minutes. John VanEngelen made the motion to approve. Tona Casella 2nd the motion. Approval of Financial Statements John looked over the bills and recommended approval. The Trustees MSC the approval of the November 2017 bills. John VanEngelen made the motion to approve last month’s bills, Tona Casella 2nd the motion. Roll call vote taken. Approved 4-0. Financial/Statistical report: The Trustees MSC the approval of the November 2017 Financial Statements. Tona Casella made the motion to approve the November 2017 Financial Statements. Kyle Tarbett 2nd the motion. Roll call vote taken. Approved 4-0. Public Forum On November 30 the Library held a public forum to discuss the strategic plan for the next five years. Attending was the Board of Trustee’s Chris Vaage, Kyle Tarbett, Monica D’Angelo and Tona Casella, Tara Bartley, Director and library strategic planning committee. Public attending was seven. Chris opened the discussion with the talk of the branch library. Kyle commented regarding the next census being in 2020 would put Twin Falls population over the 50,000 mark bringing to the table the talk of public transportation would be the next big step for Twin Falls, followed with a Rec Center. Tara would like to review what can be done with the inside of the library to accommodate our patrons and improve our service before putting out the expense of a branch. Discussion of a book drop off location. John mentioned the funding for a branch. What do we need for a bond? Reach out to the City to get the discussion going. Discussion on the bookmobile utilization. Community needs to know when and where the bookmobile will be. How can we market the bookmobile? Community would like to see more adult programing. Again, how can we market our services to the community to better inform them of what we offer at the library.

Communications & Correspondence

Book Mobile Schedule – The bookmobile will be down from December 18-January 2. Taking a trip to Boise to have the generator serviced. The Library is closed on Monday December 25 for Christmas and Monday, January 1 for New Year’s Day. Holiday Party will be at Blu on January 5 at 6:30. December 9 – Christmas Carol-oke 3:00-4:30 pm December 13 – Christmas with Dickens 7:00 pm at Twin Beans December 14 – Teen Holiday Party 4:30 pm December 16- Stories with Santa. Santa will be present, courtesy of Library Foundation. December 29 – Between the Eves. 3:00 – 5:00 pm

Kyle reported the investments for the Foundation have been doing well. There will be a retreat on January 20. John will be the new liaison and will be contacted for the retreat. The new self-checkout has arrived and is downstairs in youth services.

Business Issues

New Trustee information. No applicants. Have had some interest but did not reside within the city limits. Tara request we move the annual board meeting from January to February 2018 pending applicants for the trustee position. Discussion on having a backup copy of internal and financial information stored offsite. Library will move forward with offsite backups. Review of the 2017 Annual Statistical Report.

Library Staff

Jennifer Hills – digital photographs. Jennifer discussed the transition from i-Match to Omeka, including the process of transferring the megadata out of i-Match and into a spreadsheet, which then was verified for all 5371 photos in Bisbee and general collections. From there a smaller batch of 100 was identified and tagged according to the Dublin Core Standards that Omeka requires. That batch should be uploaded into Omeka soon. Other photos in both digital and nondigital formats still need to be processed in this way. We are hoping to get community involvement during a Photo ID Party in February, where the public can come in and help us identify and tag photos that we haven’t catalogued/digitized as of yet.

Library Director

Tatiana Del Val Meija will be the new Technology Assistant beginning December 11. Tatiana was hired internally. Her previous position was Circulation Clerk. Time Management update. All request for leave are now done within the time tracker system. Employees can submit electronically their request for leave eliminating the paper documents. Dec 1 – Dec 31 the Library is accepting non-perishable item donations in lieu of fines. All donations will go to the South central Community Action partnership. For each item donated the library will waive $1 in overdue fines, up to $25 per account. The Foundation has covered the cost of Tutor.com for the library. Tutor.com is a 24 hour on line tutoring service with a live tutor available from 3:00 – 10:00 pm. Must have a current library card for the service. The service also offers a job resume building which you can submit your resume to a tutor for recommendation on improving your resume. The Library is also looking at bringing live tutors into the library. Staff will be trained by January. The Library will be having a How to interact with the homeless training course for staff. A one-year subscription and two-hour training course is a cost of $500.00. Acknowledgement of Tona Casella and her service to the Library Board of Trustees for 2017.
